
Studio Policy Agreement
Season/Registration: A non-refundable registration fee is due at the time of enrollment. $50 for new student and $35 for returning – $25 each additional child. Fall season begins in August and Spring season ends in May. Fall season automatically rolls over into Spring season. We offer summer classes and camps (June-July.) Summer is a $25 registration fee per student. Each summer and new annual season (August-May) new registration/enrollment is required. Our VIP Registration is an additional $50 due at the time of enrollment and offers the following. (Early Recital Ticket Priority, Class Waitlist Priority, Discount for Master/Pop Up Classes, 10% OFF Encounter Merchandise & Dance Store.) *You can select the VIP Registration add on option during enrollment by selecting in on the Sunday schedule.
Christmas Showcase: Our Christmas Showcase is a more relaxed performance setting compared to our Spring Recital. The non-refundable Christmas Showcase participation fee is $35 per dancer due on December 1st with tuition. We do not order costumes for the Christmas Showcase. Instead, each class will either wear their classroom dress-code or a closet pull outfit specified by the director closer to time. We will notify you the details via email. After a 5-day grace period if we were unable to successfully draft your payment and payment arrangements have not been made with the office a $35 late fee will be added. Until this fee is paid your child/children may not participate in the showcase. *Tickets for the showcase will be sold separately.
Costume Fee: Costume Fees for our Spring Recital are $85 per costume for Pre-K Combo and $95 per costume for all other classes. The non-refundable costume fee auto-drafts on November 15th. If your child is not participating in the recital, you must notify office staff at the time of enrollment, so you are not charged the costume or recital fee. After a 5-day grace period if we were unable to successfully draft your payment and payment arrangements have not been made with the office a $35 late fee will be added. We offer one complimentary size exchange (if needed per Encounter), but any additional is $25.
Recital Fee: Our annual Spring Recital fee is $75 for the first student (+$40 each additional child.) This non-refundable fee will auto-draft on February 15th and covers the cost of the facility rental, security for the event, lighting/sound tech, insurance, janitorial services, etc. After a 5-day grace period if we were unable to successfully draft your payment and payment arrangements have not been made with the office a $35 late fee will be added. Until this fee is paid your child/children may not participate in the recital. *Tickets for the recital will be sold separately.
Class Attire: All instructors reserve the right to refuse instruction to any dancers that do not abide by the E.A.A. dress code. Each time your child is not in proper dress-code for class they will be provided with a dress-code conduct violation card and your studio account will acquire a $5 dress-code violation fee. This includes having hair put up, proper shoes on and attire for class. Please view the dress-code page on our website for details.
Tuition/Payment Information: Tuition auto-drafts on the 1st of every month and is only prorated for the first month of registration and will not vary due to shorter/longer months in the calendar year (for example: months that incorporate Thanksgiving break, Christmas break, etc.) We base our tuition pricing on a 10-month package that is divided accordingly. Payment options are ACH or credit/debit card. If you choose to pay via credit card a 3% processing fee will be added to each processing payment. If your payment has not been received or we have been unable to successfully draft your tuition by the 5th of the month, a $35 late fee will be applied to your account on the 6th of the month. After the 10th of the month if you have not paid your tuition or made payment arrangements with the office your classes will be dismissed, and your student may not attend class. You will be notified via email if your payment is not received.
Liability: Our studio takes great care and consideration for each student’s safety. With dance however, like with any other form of physical activity, the risk of injury is always possible. By reviewing this document, the parent/legal guardian acknowledges this risk and does not hold Encounter Arts Academy responsible for any injuries or occurrences. It is the responsibility of the parent/legal guardian to discuss any medical/health issues or any past injuries with the student’s instructor and at the time of registration, so it can be listed in their student’s file at the studio. If there is an incident that happens at Encounter, we will fill out our injury report and notify the parent guardian immediately. In any case of an emergency at Encounter if we are unable to get in contact with the parent/legal guardian and we feel it is necessary for the safety and health of their child Encounter Arts Academy has permission to contact 911.
Injury Conditions: If a student is injured and is not able to participate in practice and/or an event a doctor’s note must be provided to the front desk as well as a release note will be needed to return to participating in dance classes/performances. If an injury occurs close to an upcoming performance, it will be up to E.A.A. staff to decide whether a child may or may not participate in that upcoming event. Safety is our top priority, and it is important to us that we give each injury the proper amount of time needed to completely heal and for a student to regain strength after an injury.
Insurance: Encounter Arts Academy does not carry medical insurance for students and is not responsible for providing any type of reimbursement for any reason. Each student is required to be under their own family’s medical insurance.
Transfer/Cancellation Policy: For cancellations, we require a 30-day written notice such as an email. If a 30-day notice is not provided and you would like to terminate your classes immediately a $50 termination fee will be charged to your account (per child.) Any student who desires to switch to a new class after enrollment must get approval and will be charged a $20 transfer fee.
Photo Release: Encounter Arts Academy is granted permission to take photographs or videos of their students to use in any forms of advertising (such as websites, posters, flyers, Facebook, Instagram, etc.).
Safety: Safety is our #1 priority. Students must wait inside the studio/lobby while waiting to be picked up after class. Siblings and all other small children waiting inside of the lobby must be always accompanied by an adult.
Attendance/Make-up & Trial Classes: Commitment is key to the student’s long-term success. We encourage students to attend all classes so that they do not get behind when learning material or preparing for shows. Absences not only affect the individual, but also affect everyone else in the class. Students must arrive at least 5 minutes prior to their class starting and be fully dressed in proper dress code. Tuition will not be prorated/discounted for students missing classes. If a student misses a class or if the studio cancels due to inclement weather or any other situation that is beyond our control, students may schedule a make-up class within 30 days of the missed class. Make up classes can only be honored based upon availability at that time. If a class is full, we cannot schedule a make-up class. We will send out an email to notify you of a cancellation. Each student is limited to 2 make-ups per semester. Trial classes are $10 per child per class due at the time of scheduling – no refund offered, but you may re-schedule if needed.
Studio Participation: We require all EAA students to participate in our Annual “Build the Studio” campaign to enhance the beloved facility that serves our community’s needs. Your participation is essential in shaping its future.
Rescheduling & Substitution: E.A.A. reserves the right to provide a substitute teacher if the usual teacher is ill or is otherwise unable to teach. E.A.A. reserves the right to reschedule or combine classes for any reason (such as low enrollment in a specific class, etc.)
Private Dance Classes/Facility Rental: Private lessons can be used to perfect overall technique, rehearse/clean choreography, perfect a skill or choreograph a dance. Private dance lessons are available to be scheduled with office staff. Each instructor may charge their own set rate with a studio rental fee added to that. Facility rental: To rent studio space/time please email the office.
Art Classes: Art classes will not have showcase, recital, or costume fees. All other policies in this contract apply to art classes.
Communication: At Encounter we go to great lengths to keep you updated and informed. Monthly newsletters, emails, Facebook, Instagram, lobby bulletin & TV displays. We recommend that all members follow us on our social media platforms to stay up to date. Questions – we are happy to answer any questions you may have regarding your dancer or our programs. Let us know if we can help you in any way!
Overall Studio Rules/Guidelines:
-Supervise young children and please clean-up all messes left by your family or children.
-Please keep classrooms, restrooms, and lobby areas clean. Dance bags and other belongings must be stored in cubies and out of the way/clear from traveling areas. Noise levels should be kept at a minimum and we do not allow running or rough play in the lobby at any time.
-Students need to take all that they need into class with them as they will not be allowed to enter and exit the classroom during class unless a bathroom break is needed per the individual.
-Students may not go in the classroom without a teacher present and are not to use studio space outside of their class time without permission from the office and renting studio space/time. To rent studio space/time please email the office.
-To avoid distraction, parents are not to go inside the classroom or open the door at any time unless asked by the teacher. Classes will start promptly on time so if you need to speak with an instructor, please send the studio an email.
-No cell phones may be brought into classrooms unless otherwise instructed by teacher.
-No vulgar language or inappropriate gossip is permitted at any time at Encounter Arts Academy.
-We highly recommend labeling all items such as shoes, bags, water bottles, etc. so it does not get lost in the shuffle. (Especially for our littles.)
Conduct: We make every effort to keep a positive, fun-filled environment for our students and their families to enjoy. If we feel it is necessary, Encounter Arts Academy may discontinue/cancel its services at any time to any individuals who do not follow this philosophy or who participate in behavior that is not in our best interest. With no reimbursements given.
ALL fees are non-refundable (and non-creditable) for any reason after they have been paid to Encounter Arts Academy.
